December Department Spotlight - Records

Posted By: Marsha Bills

The Records department’s main mission continues to be serving customers and providing copies of records to criminal, civil and family court documents. But the enormous undertaking of imaging all family and civil documents continues to proceed at a faster pace than anticipated.

Information Officer Stan Tungate, who attended a national conference in eCourts recently said, “What I heard and saw at this gathering of national experts confirmed that we are using best practices as we proceed. Having hard work validated gives us the impetus to continue on the path we chose according to what we thought Dallas County and our customers need.”

According to Stan, during 2008, the most important improvement is the ability to view actual documents filed in past year in family courts and some efilings in 101st which is the pilot court for civil courts. These documents can be viewed through the public access terminals located in basement of the George Allen Building, where almost 7 million images are available for viewing now because of imaging.

Since December 2003, the department has been imaging family court orders. Now the process of retrieving paper case files, which once took more than 30 minutes can now be accomplished instantly on record-terminals and copies can be made within minutes.

Additionally, the efficiency gained through imaging has given clerks more time for better customer service and has enabled the department to move two clerks from the civil and family area to Frank Crowley Building to improve criminal records service there..

Within the next few months electronic efiling documents will be available through GA records terminal, expanding service and improving service even more. “2009 will be a landmark year for Records as we get more and more documents on-line providing a better environment for our staff and better service for our customers,” concludes Stan.
